Mobile credentials can reduce administrative friction and support a more connected property experience. A key fob is a physical credential issued to a person and presented to a compatible card reader. Most fobs use proximity, smart-card, or encrypted contactless technology. When the credential is read, the access control system checks the user’s permissions and either grants or denies entry.

High-turnover properties may feel these recurring costs more sharply than stable, owner-occupied facilities.

Mobile credentials may involve subscription fees, compatible readers, platform licensing, and possible upgrades to controllers or management software. Those expenses can be justified when they reduce manual issuance work, improve auditability, or support a broader resident and tenant experience strategy. They may be harder to justify at a small site with limited turnover and a simple access profile.

A hybrid model is often the practical answer. Mobile credentials can be the primary choice for residents or employees who want them, while key fobs remain available for accessibility, backup access, contractors, and users without supported devices. This approach avoids forcing a technology decision that does not fit every person on the property.

Planning an Access Upgrade Without Disruption

Before selecting mobile credentials, key fobs, or both, begin with an access audit. Identify every door, gate, elevator, amenity area, equipment room, and parking entry that requires controlled access. Then review who needs access, when they need it, and what happens when that access must be changed quickly.

It is also useful to examine the existing reader technology and cabling. Some systems can support mobile credentials with a reader upgrade, while others may require more significant changes. During occupied-property upgrades, phased installation and clear resident or tenant communication are essential. Access should not become confusing simply because the technology behind it is improving.
